Rosenberg Mansion Corp. ("Company," "Clara," "we," "us," or "our") provides an AI-powered voice intake and call-screening platform for law firms (the "Service"). This Privacy Policy explains how we collect, use, disclose, and protect information when you use the Service, our website, and related products.
By using the Service, you agree to the collection and use of information in accordance with this policy. If you do not agree, please do not use the Service.
1. Who This Policy Covers
This policy applies to three groups of people, and their rights differ:
- Customers — the law firms and their staff who purchase and administer Clara.
- End Callers — the members of the public who call a law firm's Clara-enabled phone line. Clara processes their information as a service provider/processor on behalf of the law firm, who is the data controller of that information. Questions from end callers about their data should generally be directed to the law firm they called, though we will assist as described below.
- Website Visitors — people who browse our marketing site or book a demo.
2. Information We Collect
a. Information Customers Provide Name, business email, phone number, firm name, billing address, payment details (processed by Stripe — we do not store full card numbers), and account credentials.
b. Information Collected from End Callers (on behalf of Customers)
- Caller phone number (via caller ID)
- Audio recordings of calls, where permitted or consented to
- Voice-to-text transcripts generated by our AI
- Information the caller provides during the call (name, case details, contact information, self-qualification answers)
- Call metadata (time, date, duration, disposition)
c. Automatically Collected Information IP address, browser type, device identifiers, pages visited, and usage patterns on our website and dashboard, collected via cookies and similar technologies (see our Cookie Policy).
d. Information from Third Parties We may receive information from integration partners (e.g., Vapi.ai, telephony providers, Stripe) necessary to operate the Service.
3. How We Use Information
We use collected information to:
- Provide, operate, and maintain the Service
- Screen and route calls for law firm customers
- Generate transcripts, summaries, and dashboard records
- Process payments and manage subscriptions
- Send administrative communications, promotional codes, and SMS/email follow-ups (see our SMS/TCPA Consent Policy)
- Improve and train the underlying AI models, in de-identified or aggregated form where feasible
- Detect fraud, enforce our Terms of Service, and comply with legal obligations
4. Call Recording
Clara may record and transcribe calls to and from law firm phone lines. Where required by law, an automated disclosure will notify callers that the call may be recorded before the AI intake process begins. Customers are responsible for ensuring their use of the Service complies with call-recording consent laws in their jurisdiction. See our Call Recording & Consent Disclosure for details.
5. How We Share Information
We do not sell personal information. We may share information with:
- Subprocessors who help us operate the Service (hosting, telephony, AI model providers, payment processing, SMS/email delivery) — see our Subprocessor List
- The law firm Customer whose line received the call (this is the core function of the Service)
- Legal authorities, if required by law, subpoena, or to protect rights, safety, or property
- A successor entity in the event of a merger, acquisition, or sale of assets
6. Data Retention
We retain call recordings, transcripts, and dashboard records for as long as the Customer's account is active, or as otherwise instructed by the Customer, and consistent with our contractual obligations under any Data Processing Agreement. We retain website and billing data as needed for legal, tax, and accounting purposes.
7. Your Rights
Depending on your location, you may have rights to access, correct, delete, or restrict use of your personal information, and to opt out of certain processing. If you are an end caller and your information was collected through a law firm's phone line, we may direct your request to that law firm as the responsible party, consistent with our role as a service provider.
8. Security
We use commercially reasonable administrative, technical, and physical safeguards designed to protect information. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
9. Children's Privacy
The Service is not directed to individuals under 18, and we do not knowingly collect personal information from children.
10. International Users
The Service is hosted in the United States. If you access the Service from outside the U.S., you consent to the transfer and processing of your information in the U.S.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will post the updated version with a new "Last Updated" date. Continued use of the Service after changes constitutes acceptance.
